Pre-Service
Immediately on Booking
Booking Confirmation — SMS + Email
Automated via LeadSprout. Confirms the appointment date, time, and scope. Includes who to contact with questions and what to expect on the day of service. Tone: warm, professional, reassuring.
24 Hours Before Service
Day-Before Reminder
Automated SMS + email reminder. Time, address confirmation, what the client should prepare or have ready. Reduces no-shows and scope surprises.
2 Hours Before Arrival
On My Way Message
Sent personally by the tech or rep — not automated. A quick text: "Hey [Name], this is [Tech] with [Company] — I'm about [X] minutes away. See you soon!" Personal, specific, removes anxiety.
With the "On My Way" Message
Who's Coming — Introduction
Automated message that includes the tech's name and what the client can expect when they arrive (scope recap, estimated duration). If a photo is available, include it. Clients who know who's coming feel significantly more at ease.
Section 04 — Stage 1
Day of Service
The way a technician or rep conducts themselves during a job communicates everything about the business. These standards are non-negotiable.
On Arrival
Walk-Through + Scope Alignment
Walk through the full scope with the client before starting. Confirm what will be done, in what sequence, and what the outcome will look like. Never start until the client has verbally acknowledged the plan.
During Multi-Day Jobs
End-of-Day Progress Updates
At the end of each day on a multi-day job, the tech sends a brief update — what was completed, what's next, any issues to be aware of. SMS or email — whichever the client prefers.
If Anything Changes
Immediate Scope Change Communication
Any scope change is communicated before it happens — never after. If unexpected issues arise, stop work, call or text the client, explain clearly, get approval. No surprises on the invoice.
Before Departure
Pre-Departure Quality Check
Walk the finished work with the client. Ask: "Does everything look right to you?" Give them the chance to flag anything before you leave. This moment resolves 90% of post-job complaints before they happen.
After Departure
Tech Sentiment Assessment
After leaving the property, the tech logs the following in WundertreOS (Buffollow): Job Quality (Complete / Partial / Issue) and Client Sentiment (Positive / Neutral / Mixed / Negative). This assessment triggers the post-service sequence.

Immediate Post-Service (Day 0–7)
The 72 hours after a completed job are when customer satisfaction is at its peak and when reviews, referrals, and repeat intent are most easily captured. The exact sequence depends on the tech's sentiment assessment.

Short-Term Retention (Day 8–30)
The immediate excitement of a great job is fading. These touchpoints keep the client engaged, introduce them to the next logical service they need, and begin pulling them toward the Wundertre ecosystem.

Contextual Cross-Sell
Based on what service was completed, what's the logical next service for this client? Not a generic offer — a specific, relevant suggestion. A roofing client gets a gutter cleaning mention. An HVAC client gets a filter replacement reminder. A landscaping client gets a seasonal service reminder. Delivered via SMS or a short personal email from the rep.
Day 30
Loyalty Program Enrollment
Enroll the client in the loyalty program (Buffollow) and send their first points balance update. Frame it as a benefit of being a client, not a marketing tactic. "As a [Company] client, you're automatically earning points every time you use us — here's what you've earned so far."

Monthly Newsletter Entry
Client added to the monthly value newsletter. Content-first, not sales-first. Seasonal tips, business insights, useful information — the kind of thing a trusted advisor sends, not a marketer.

Long-Term Advocacy (Month 2+)
A client who's had two or more positive experiences with a service business is one of the highest-value assets that business has. They refer naturally. They leave reviews without being asked. They come back without being sold. The Omni Service Path systematizes the touchpoints that turn satisfied customers into advocates.

Seasonal Outreach
Proactive outreach tied to the time of year and the client's service history. Relevant, useful, not salesy. "With [season] coming up, now's a good time to think about [relevant service]."
Trigger: Month 3
Proactive Check-In Call
A human call from the account rep. "Just wanted to check in — how has everything been since [job type]? Anything you need coming up?" No agenda beyond relationship maintenance.

Account Review Call
Deeper check-in. How has the service delivered? Any upcoming needs? Are they happy? This is also the natural moment to mention referral opportunities.

Referral Program Activation
After two or more confirmed positive experiences, activate the referral program: "Do you know anyone in [their area/industry] who could use this kind of help? We have a referral program that rewards you for every introduction." Use Buffollow to track and pay referral credits.
