Omni Channel Guide
Channel Guide: Direct Mail
The Omni Way
The physical channel in the Omni system โ landing in hands, sitting on counters, and earning attention no algorithm can take away.
The Omni System
Why This Channel Belongs in the Omni System
Being in the mailbox is the physical layer of Omni-Presence. While competitors fight for screen time in the newsfeed, a mailer occupies real estate in the home โ on the counter, on the fridge, on the desk. It is presence that can't be scrolled past, muted, or blocked.
EDDM saturation, neighborhood canvassing, and past-client touches ensure the brand is seen across every channel the prospect inhabits โ not just digital ones.
Physical Layer ยท Mailbox PresenceA mailer that tells a story, shows real work, and makes a specific offer is a brand touchpoint that digital alone cannot replicate. The format forces discipline โ one headline, one photo, one offer โ which makes the message sharper than most digital content ever achieves.
Available natively through MarketBOOST Mail โ design, print, and deploy direct mail campaigns from within WundertreOS without leaving the platform.

Design Best Practices
-
Headline FirstThe headline must work alone without reading any body copy. If it doesn't hook in 3 seconds, the mailer doesn't work. Write the headline last โ after you know everything else.
-
One OfferNot a menu of services. One thing, one price, one CTA. A mailer that lists everything you do sells nothing. Constraint creates clarity.
-
Real PhotosReal job photos from the actual market outperform stock photography every time โ no exceptions. A photo of a real roof in the neighborhood builds instant credibility stock images can't replicate.
-
Brand Colors and LogoEvery piece is a brand impression. Consistent visual identity across all drops means the prospect who receives a third mailer recognizes it before reading a word.
-
White SpaceCluttered mailers don't get read. Every element on the design competes for attention โ the fewer the elements, the more power each one has. White space is a design decision, not wasted space.
-
QR Code + Phone Number + URLMultiple response paths โ each tracked separately. The QR code is for the smartphone-first prospect; the number is for the caller; the URL is for the browser. Track each individually to know which audience converts.
-
The Back of the Card MattersThe second-most-read surface on a postcard. Don't waste it on blank space or return address only. A single testimonial โ one sentence, first name, neighborhood โ is the highest-converting content it can carry.
Copy Standards
Copy Best Practices
The only headline structure that consistently works on direct mail is: Pain + Area + Offer.
Three sentences maximum on a postcard โ no exceptions. The structure is: Problem โ Solution โ CTA. If you can't say it in three sentences, you haven't found the offer yet.
Use real urgency: seasonal deadlines, crew availability windows, post-storm demand. Proof-based urgency ("We've already done 12 roofs on your street this month") is more powerful than any manufactured scarcity.
Never lead with the company name โ the prospect doesn't know who you are and doesn't care yet. Lead with the problem they have, the result they want, or the question they're already asking themselves.
One sentence. First name only. Neighborhood included. Example: "They replaced my entire roof in one day and left the yard cleaner than they found it. โ Mike S., Lakewood Hills." That single line on the back of a postcard is a trust signal that no headline can match.
Distribution Strategy
Targeting and Distribution
- Use the USPS EDDM tool to select carrier routes by neighborhood
- Filter routes by estimated household income and home value
- Target by home age โ older homes need more services
- No list required โ covers every address on the selected route
- Ideal for new market entry and blanket awareness campaigns
- Use the LeadSprout prospecting export as the mailing list
- Same prospects being called are now also receiving a mailer
- Filter by property type, owner status, home value, or acreage
- Commercial decision-makers require a targeted list โ not EDDM
- Omni effect: prospect receives mail AND a call in the same week
- Quarterly touch minimum โ no past client should go more than 90 days without hearing from the brand
- Seasonal offer tied to the time of year (spring tune-up, storm prep, winter check)
- Referral ask โ the most cost-effective mailer that exists
- Anniversary or milestone acknowledgment builds loyalty
- When a weather event hits the service area, deploy EDDM within 7 days
- The businesses that move fastest win the storm work โ speed is the competitive advantage
- Target routes nearest the affected geography first
- Headline is simple: acknowledge the event, offer the inspection, remove the friction
Omni-Presence in Action
The Digital Multiplier
Platform Integration
WundertreOS Integration
The native direct mail channel inside WundertreOS. Design, print, and track direct mail campaigns without leaving the platform. EDDM route selection, targeted drops, and campaign tracking are all managed from a single interface.
Export area and property prospecting lists directly from LeadSprout into mail campaigns. The same prospects being worked in outreach are receiving mailers โ creating the Omni multiplier effect across physical and outbound channels simultaneously.
Track responses with a unique phone number per campaign, a unique QR code that routes to a campaign-specific landing page, and a unique URL (e.g., example.com/spring). Each mechanism is tracked separately โ no guessing which prospect came from where.
Past client mailing lists live in Core within WundertreOS. Segment and export directly for targeted campaigns โ quarterly service reminders, referral asks, seasonal offers, and anniversary touches. The list is always current because it lives in the CRM.
Performance Measurement
What to Measure
What Not to Do
Common Mistakes
-
Mailing Only OnceDirect mail works through repetition. One drop rarely moves the needle โ it takes 3โ5 impressions before a prospect who wasn't ready starts to act. A single mailer with no follow-up is an expense, not a campaign.
-
No Tracking MechanismRunning a mail campaign with no unique phone number, no QR code, and no campaign URL is running blind. If you can't measure it, you can't improve it โ and you can't prove it to the client.
-
Too Much ContentA mailer gets 3 seconds of attention. If the headline doesn't hook in those 3 seconds, nothing else matters. A cluttered design with 8 service bullets and 3 CTAs communicates nothing because it tries to communicate everything.
-
Company Name as the HeadlineNo one cares who you are yet. The company name is not a headline โ it's a footnote until trust is earned. Lead with the problem the reader already has. The brand name follows the value, not the other way around.
-
Mailing Without Digital in the Same AreaSending physical mail to a ZIP without running even a small geo-targeted digital campaign to the same area leaves the 3โ4x multiplier effect completely on the table. The combination costs marginally more and performs dramatically better.
-
Stopping When Business Is GoodThe businesses that mail consistently โ through busy seasons and slow ones โ build recognition that compounds over time. Stopping and starting resets that recognition. The best time to mail is always before the pipeline dries up, not after.
